Privacy Policy

How we collect, use, and protect your personal data

The Science and Information (SAI) Organization ("SAI", "we", "us", or "our") is committed to protecting the privacy of authors, reviewers, committee members, and attendees who use our conference websites and services. This Privacy Policy explains what personal data we collect, why we collect it, and how it is used.

1. Information We Collect

We collect information you provide directly, including: name, email address, affiliation, country, ORCID iD, biography and expertise tags; manuscript files, abstracts, and co-author details submitted through our system; payment and billing details processed by our payment provider (we do not store full card numbers); and correspondence you send us, such as contact-form messages and support requests.

2. How We Use Your Information

We use personal data to: process and manage paper submissions, peer review, and editorial decisions; organize conference programmes, registrations, and payments; issue certificates and camera-ready/publication materials; communicate with you about deadlines, decisions, and conference logistics; detect plagiarism, duplicate submissions, and other integrity concerns; and maintain committee/reviewer records across conference years.

3. Sharing of Information

We share limited information with: assigned reviewers and chairs, for the purpose of peer review; our third-party service providers, including cloud storage, email delivery, plagiarism-detection, and payment-processing providers, solely to the extent necessary to deliver our services; and publishing/indexing partners, where a paper is accepted and published in the conference proceedings. We do not sell your personal data to third parties, and we may disclose it where required to do so by law or where you have violated our Terms of Service.

4. Payment Processing

Registration payments are processed by Razorpay. Neither we nor Razorpay store your full card details on our servers — payment data is encrypted in line with the Payment Card Industry Data Security Standard (PCI-DSS) during processing, and is retained only as long as necessary to complete your transaction. 5. Cookies

We use cookies only to maintain your logged-in session while you use our site. We do not use cookies to track you across other websites.

6. Public Profile Information

If you serve as a chair, committee member, or reviewer, certain profile details (name, affiliation, photo, and short biography) may be displayed publicly on the conference Committees page, unless you request otherwise.

7. Data Retention

We retain submission, review, and registration records for as long as necessary to support the conference proceedings, historical archives, and any applicable legal or academic-integrity obligations.

8. Age of Consent

By using this site, you represent that you are at least the age of majority in your jurisdiction of residence, or that you have obtained appropriate consent for a minor dependent to use it.

9. Your Rights

Depending on your location, you may have the right to access, correct, or request deletion of your personal data, or to object to certain processing. To exercise these rights, please contact us via the relevant conference's Contact page.

10. Security

We use reasonable technical and organizational measures, including encrypted storage and access-controlled file delivery, to protect personal data against unauthorized access, loss, or misuse.

11. Changes to This Policy

We may update this Privacy Policy from time to time. Any changes will be posted on this page with a revised "Last updated" date.
